Connect and synchronize Outlook

Connect a Microsoft Outlook mailbox to Paperplane and import matching file attachments on a schedule.

Last reviewed 2 min read

Prerequisites

  • A Paperplane workspace where you have the Admin role — only admins can set up connectors.
  • A paid plan, or a free workspace within its 30-day trial of premium features — email integrations are a premium feature.
  • A Microsoft work, school or personal account with the Outlook mailbox you want to connect.
  • Permission to authorize Paperplane if your organization restricts access to third-party apps.

Steps

  1. Open Integrations in Paperplane.
  2. Choose Microsoft Outlook, give the connector a name, and select “Continue to Microsoft Outlook”.
  3. Sign in on Microsoft’s own page with the account whose mailbox you want to connect.
  4. Review the access Microsoft shows you and confirm it. Paperplane uses Microsoft’s authorization flow and reads only the signed-in mailbox; you never type your Microsoft password into Paperplane itself.
  5. After Microsoft returns you to Paperplane, choose the date to import messages from, the sync frequency (every 15 minutes, hourly, every 6 hours, every 12 hours or daily), and the attachment file types to import. Activate the sync to start the first job.

Expected result

The Outlook account appears as a connector and starts its first sync. Paperplane imports matching file attachments from Inbox, Sent, Archive and folders you created yourself. Drafts, Junk, Deleted Items, hidden folders and search folders are excluded. Later jobs collect new matching attachments on the schedule you selected. Imported documents remain in your archive if you disconnect the mailbox.

Common problems

  • Microsoft says administrator approval is required. Ask your Microsoft 365 administrator to approve Paperplane for your organization, or use an account where you can grant the requested access.
  • An attachment is missing. Check the connector’s start date and selected file types. Also confirm that the message is in Inbox, Sent, Archive or one of your own folders, rather than an excluded system folder.
  • The sync has not run again yet. Open the connector to confirm its schedule and last successful job. You can also start a sync manually from its actions.
  • I want to disconnect Outlook. Remove the connection from Integrations. This stops future mailbox access; documents already imported into Paperplane stay in your archive.
