Connect an IMAP mailbox

Connect any IMAP-compatible mailbox to Paperplane with your host, port, and credentials.

Last reviewed 3 min read

Prerequisites

  • A Paperplane workspace where you have the Admin role — only admins can set up connectors.
  • A paid plan, or a free workspace within its 30-day trial of premium features — email integrations are a premium feature.
  • An IMAP-compatible mailbox — this works for providers other than Gmail, as long as they support IMAP access.
  • Your mailbox’s IMAP server host and port, plus a username and password (or an app-specific password, if your provider requires one for third-party mail clients).

Steps

  1. Open Integrations in Paperplane.
  2. Choose IMAP mailbox and give the connector a name.
  3. Enter the IMAP host and port your provider publishes for IMAP access.
  4. Enter your mailbox username and password (or app-specific password).
  5. Choose the date to import messages from, the sync frequency (every 15 minutes, hourly, every 6 hours, every 12 hours, or daily), and the attachment file types to import.
  6. Select “Test mailbox and start sync”. Paperplane signs in to the mailbox with the details you provided and starts the first sync. See Choose folders, file types, and run an import for details on file types and job results.

Expected result

Your mailbox appears as a connector in Paperplane. Like Gmail, an IMAP connection keeps running: the first sync imports attachments from messages since the date you chose, and every later sync, on the frequency you set, picks up attachments from new messages. Only attachments in the file types you selected become documents; each one keeps details of the message it came from, such as sender, subject, and date. They are searchable alongside directly uploaded documents.

Common problems

  • The connection fails immediately. Double-check the host and port against your provider’s IMAP settings page, and confirm your username is in the format your provider expects (sometimes your full email address, sometimes just the local part).
  • My password is rejected even though it’s correct. Some providers require a separate app-specific password for third-party mail clients, or require you to enable IMAP access first in your mailbox settings.
  • I’m missing attachments I expected. Check the start date and file types in the connector’s settings, and review the job history for skipped or failed attachments; see Choose folders, file types, and run an import.
  • I want to disconnect the mailbox later. Remove the connection on the Integrations page at any time; already imported documents stay in your archive.
