Find documents with quick search

Use quick search to find documents in your archive by filename or by the text inside them.

Last reviewed 2 min read

Prerequisites

Steps

  1. Open quick search: click the search box, or press Shift twice anywhere in the app.
  2. Type a word or phrase — a filename, an amount, a company name, or any term you expect to appear in the document itself.
  3. Review the results. Quick search looks at both filenames and the text Paperplane extracted from each document, including OCR text from scans in German and English, so a term inside a scanned invoice or contract can surface it even if it’s not in the filename. It combines exact keyword matches with matches by meaning, so related wording can also find a document.
  4. Open a result to view the document, or refine your search terms if you get too many or too few matches.

Expected result

You see a list of documents whose filename or extracted text matches your search term, across every folder you have access to.

Common problems

  • A document I know exists doesn’t show up. It may still be processing — text extraction has to finish before a document is searchable. Give newly uploaded documents a little time.
  • Too many results. Add more specific terms, such as a date, an amount, or a name, to narrow the list.
  • I want an answer, not a list of documents. Quick search returns matching documents. For natural-language questions like “What did we agree on the delivery date?”, use AI archive search instead: it answers only from your documents and cites the document and page it used.
  • A scanned document’s text doesn’t match what I typed. OCR accuracy depends on scan quality; a low-resolution scan may have extracted text with errors.
