Frequently asked questions
Who Paperplane is for, how search and signatures work, what it costs and how your data is protected.
General
Who is Paperplane for?
Paperplane serves private users and businesses equally. Individuals keep personal records,
invoices, contracts, correspondence and warranties in one searchable place. Teams consolidate
operational documents, imported mailbox attachments and files from shared drives, and send
documents out for signature. There are separate personal and business plans, and every plan
supports unlimited workspace members.
How is Paperplane different from Dropbox or Google Drive?
Dropbox and Google Drive store files. Paperplane is an archive built to find what is inside them:
it reads every page, scans included, picks out dates, amounts and invoice numbers, and answers
questions with a link to the page. You can keep using your drive: Paperplane imports folders
from Google Drive, SharePoint, Dropbox and file servers once, while Gmail, Outlook and IMAP
mailboxes sync on a schedule. Everything is stored and processed in the
EU. More in our article
“Email and cloud drives are not an archive”.
Is Paperplane available in English and German?
Yes. The app, the help center and this website are available in English and German. Text
recognition for scanned documents is set up for both languages.
Is there a mobile app?
Apps are coming to iOS and Android. Until then, the Paperplane web app works in the browser on
your phone, including search, AI questions and signing.
Plans & pricing
How much can I store, and what are the limits?
Plans are limited by the number of documents in a workspace, not by gigabytes, and each person
has a monthly allowance of AI questions. The allowance grows with the plan, from the Free plan
to Business Scale. Quick search is not limited, and every plan supports unlimited workspace
members. The exact numbers are listed with each plan.
What’s the difference between personal and business plans?
Both are priced per workspace, not per seat, and both include unlimited members. Personal plans
are shown with VAT included and suit private archives. Business plans are shown net, with VAT
or reverse charge applied where required, and offer higher document limits for teams. All paid
plans include the same premium features: signing, share links, Gmail, Outlook and IMAP sync and the
audit log.
What does the Free plan include?
The Free plan includes documents, quick search, AI search and one-time imports from Google
Drive, SharePoint, Dropbox and file servers, for up to 100 documents and 50 AI questions
per person each month. Every new Free workspace can also try the premium features (signing, share
links, Gmail, Outlook and IMAP sync and the audit log) for 30 days.
How do pricing, VAT and billing work?
Every plan is priced per workspace and can be billed monthly or annually; annual billing costs
less than twelve monthly payments. Personal prices include VAT. Business prices are net, and VAT
or the reverse-charge mechanism is applied where required. Payments are processed by Mollie.
Search & integrations
How is quick search different from AI search?
Quick search opens when you press Shift twice. It matches file names and the text inside your
documents, including scans recognized with OCR. AI search lets you ask a question in plain
language: Paperplane retrieves the relevant passages from your documents and answers from that
evidence, with numbered citations back to the originals. Use quick search when you know
roughly what you are looking for, and AI search when you want an answer, not a list of files.
Do AI answers include sources, and what happens when there’s no evidence?
Yes. AI search answers only from your own documents, and every statement links to the source
document and page so you can check it. When your archive does not contain enough evidence,
Paperplane says so instead of guessing. Answers can still be incomplete, so treat them as a
fast way to find information, not as professional advice.
Which mailboxes and drives can I connect?
Gmail, Outlook and any IMAP mailbox sync on a schedule you choose, from every 15 minutes to
once a day. Google Drive, SharePoint, Dropbox and file servers (FTP, FTPS or SFTP) are imported
once from the folders you select. Imported files become searchable alongside everything you upload. See
Integrations for details.
Does Paperplane support OneDrive or Box?
No. Paperplane connects to Gmail, Outlook, IMAP mailboxes, Google Drive, SharePoint, Dropbox
and file servers over FTP, FTPS or SFTP. We will update this page if that changes.
Signatures
Can recipients sign without a Paperplane account?
No. Recipients open the signature link, confirm their email address with a one-time code, and
draw or upload their signature in the browser. Only the sender needs a Paperplane workspace
on a plan that includes signing. See Sharing and signatures for
details.
Can every document be signed electronically?
No. Electronic signatures cover a wide range of everyday business and personal documents, but
some legal acts have formal requirements, such as notarization or a specific paper form, that
an electronic signature cannot satisfy. When in doubt about a specific document, check with a
qualified advisor.
What happens after a recipient submits a signature?
The submission waits for your review. When you approve it, the signed PDF is stored in your
archive as a new document next to the original. If you reject it, the request is not completed
and you can send a new one.
What happens if a signature request passes its deadline or is revoked?
Every signature request can be signed for 30 days. Once that period ends, the request can no
longer be signed. You can also revoke an open request, which stops the link from working
immediately. In both cases you can create a new request if the document still needs a signature.
Can we review a signature before it counts as complete?
Yes. Every submission, whether a simple electronic signature or an uploaded signed PDF, waits
for the sender’s review. You approve or reject it, and only an approved submission completes the
request.
Security & access
Where are my documents stored and processed?
They are stored and processed in the EU and do not leave it. That covers your files and
everything Paperplane derives from them: extracted text, the search index, AI answers and
backups. See data residency for the overview.
How are my connector credentials and imported documents handled?
Google, Microsoft and Dropbox accounts are connected through the provider’s own sign-in and
authorization page rather than a password typed into Paperplane. For SFTP servers, Paperplane verifies the
server’s host-key fingerprint before connecting. Imported documents are stored and processed in
the EU like every other document in your archive.
How do share links and signature links work?
A share link gives read-only access to a document or folder in one of three modes: “Anyone with
the link” (optionally with a password), “Specific email recipients” (each confirms their address
with a one-time code) or “People in this workspace”. Links stay active until you revoke them.
Signature requests use a protected link too: the recipient confirms their email address with a
one-time code before they can view and sign the document.
Who can access our workspace and its documents?
Only the people you invite. Members have the Member or Admin role, and access groups let you
restrict folders and files to specific people or groups. Paid plans include an audit log of
what happened in the workspace.
